Why Transparent Pricing Matters for Mid-Size Medical Practices

Key Takeaways

  • Healthcare practice operating costs are rising, making every dollar count.
  • Choosing a communications platform without transparent pricing can leave practices paying more for less.
  • RingRx offers three straightforward per-user plans with a BAA included and no setup fee.
  • RingRx was built exclusively for healthcare, so mid-sized practices get a communications platform shaped around their actual workflows.
  • RingRx's full-featured Clinic plan costs roughly half as much per user as Spruce Health's top-tier Communicator plan.

Why Transparent Pricing Matters for Mid-Size Medical Practices

Healthcare pricing is often hard to navigate, and that lack of transparency affects medical practices, too. With costs rising, every dollar matters. Labor remains the biggest expense for most practices, and total labor can consume 50% to 60% or more of operating expenditures.

MGMA reported an average year-to-date operating expense increase of approximately 11.1% in 2025, driven largely by staffing costs and medical supplies. MGMA also reported that 90% of medical groups said year-to-date operating costs were higher than at the same point in 2024.

Transparent pricing matters for the same reason. Without it, practices can end up paying more for a communications platform that still does not fit front-office workflows. RingRx offers straightforward pricing and billing for healthcare practices. Here’s what’s included in our plans and how they compare to other vendors.

Pricing and Packaging

We take pride in making our pricing plans as transparent as possible. These include:

  • Lite ($15 per user per month): A complete business phone system for any-sized practice
  • Grow ($19 per user per month): Business phone, fax, and text for your entire office
  • Clinic ($25 per user per month): A business-class communications solution for growing and established practices; includes desk phones, call queues, web and machine faxing, and AI-powered spam protection.

Along with our transparent per-user pricing across those three tiers, we include a Business Associate Agreement (BAA). There is no setup fee.

How We Compare to the Competition

RingRx vs. Nextiva

Nextiva’s pricing is tiered and structured for general business use:

  • Core ($23 per user per month)
  • Engage ($50 per user per month)
  • Power Suite CX ($75 per user per month)

The plan that works for a healthcare front desk is rarely the cheapest advertised option. HIPAA-compliant Nextiva configurations and BAA availability require working with sales and are not clearly reflected in the standard published small-business tiers.

RingRx vs. Spruce Health

  • Basic ($24 per user per month)
  • Communicator ($49 per user per month)

RingRx is roughly half the per-user cost of Spruce’s top tier. If your practice depends on phones, fax, and structured call handling, RingRx may be the better operational fit.

RingRx vs. Weave

Weave uses quote-led, per-location pricing, which can make side-by-side budgeting less straightforward than a public per-user model. Because Weave includes integrated payment processing, practices also need to factor in processing rates and terminal costs when evaluating total spend.

What Does RingRx Charge For?

Our standard plans (Grow and Clinic) do not charge for:

  • Minutes of talk time
  • Number of texts sent
  • Number of pages faxed (inbound or outbound)
  • Phone numbers (as long as you do not exceed the quota of numbers included in your plan)
  • Voicemail boxes (as long as you do not exceed the quota of mailboxes included in your plan)

We always do our best to fully disclose any additional charges to you when discussing them with a representative. We charge for:

  • Premium or “add-on” features (not required), including Call Recording, RingRx Outreach, and Call Center.
  • Some shipping costs (for all routine deliveries of hardware)
  • Text Campaign Registry fees (application required to be able to send texts to the cellular networks)
